How to Use the Boardroom to Impress Clients

When it comes to impressing your clients, making the right first impression is critical. Nothing sets the tone better than a good meeting. A well organized, professional meeting space is how you’re going to impress your clients from the get go. Choosing to rent a boardroom is going to make the biggest difference in showing clients what you have to offer. You can’t make big, sweeping, impressive statements from a dingy office with barely any light. Instead, you need to think about what type of boardroom you can sit in to show people that you are professional, you know what you’re doing, and you are ready to take on what they need.

Finding a boardroom that offers services such as tea and coffee making, a bottle fridge for a champagne toast, and even high backed, comfortable seating for presentations is a must. A meeting room that will impress clients takes time to find, so let’s take a look at how you can use it to leave a lasting positive impression on your clients.

  1. Think about the setting. The space in which you meet with your clients makes a difference to how your brand is perceived. From the decor to the layout, every single detail is going to get noticed the moment your clients walk through the door. Whether you’re a creative agency, a corporate consultancy, or you’re a self-employed person who doesn’t even have an office, you need to hire the boardroom that makes your business look good.
  2. Optimise the layout for collaboration. Is this meeting going to be a presentation? Are you going to spend time dictating to the group or do you want a discussion? Whatever the reason for your client meeting may be, you need to arrange the room for the purpose of the meeting. A round table set up is perfect for brainstorming, but a clear line of sight to visual aids is great for presentations. For small group work, you can even arrange the room with clusters of smaller tables. As long as you’ve provided some food and drinks to keep everybody motivated, you’re going to have a successful meeting.
  3. Use technology for a seamless presentation. You can use technology in the boardroom. Your experience during meetings should be easy, so with reliable screens, projectors and video conferencing tools, you can ensure that your clients are happy to be where they are. Clients should feel impressed with the equipment that you use and that means looking at the technology that you’ve got and then adding to it if necessary.
  4. Always provide quality refreshments. If this meeting is going to be a celebration then the bottle fridge that we’ve mentioned earlier is going to be a great place to stash some champagne or at least some sparkling wine. Serving coffee, tea and water as a baseline, especially for shorter meetings, is a must. But if you’ve got longer meetings happening or a presentation then lay on a lunch. Choose somewhere good to cater rather than having to make sandwiches or put out biscuits yourself.
